Clinic Appointment System
One schedule your whole clinic trusts, with reminders that go out without anyone sending them.
The problem
The schedule lives in a WhatsApp thread and a notebook, so double bookings are found in the waiting room and no-shows are found at the end of the day.
What a clinic appointment system has to get right
Not features. Three specific failures, because these are the ones that cost the clinic money and reputation:
Two patients in one slot
This happens whenever availability exists in more than one place. The fix is structural: one schedule, and a booking that reserves the slot the moment it is made. If a system lets two people hold the same slot for even a second, it will eventually put both of them in your waiting room.
Patients who do not arrive
Manual reminders get skipped on busy days, which are exactly the days you can least afford an empty chair. Automatic reminders over WhatsApp the day before, with a one-tap way to cancel, turn a no-show into a slot you can refill.
A doctor's schedule that changed on Tuesday
If updating availability requires a developer, it will not get updated, and the system will start lying. Your receptionist has to be able to block Thursday afternoon in ten seconds.
What we build
- One schedule across doctors, rooms and locations, with conflicts impossible rather than discouraged
- Patient-facing booking that works without an account, because accounts cost you bookings
- Automatic WhatsApp reminders and cancellations, integrated properly rather than through a personal phone
- Records with access by role, and a log of who opened what
- An availability screen the front desk owns, no developer involved
| Task | WhatsApp and notebook | With a system |
|---|---|---|
| Booking one appointment | 3-8 messages, minutes apart | One form, instant confirmation |
| Checking today's schedule | Scroll a chat thread | One screen |
| Sending tomorrow's reminders | Manual, often skipped | Automatic |
| Changing a doctor's availability | Retype and re-announce | Ten seconds, front desk |
| Finding a patient's last visit | Ask whoever remembers | Search |
Being straight with you
We have not published a clinic case study yet — this page describes what we build and how, not a client we are hiding. What we can show is how we handle reliability and load on systems where downtime was not an option.
If you need general bookings rather than clinical appointments — classes, rooms, consultations without patient records — the simpler booking system is the right page.
Questions we get asked
Can patients still book over WhatsApp?
Yes, and they should be able to. We connect WhatsApp to the same schedule, so a booking made by message and a booking made online cannot collide. Removing WhatsApp entirely loses you patients.
How long does it take to build?
Scheduling, booking and reminders take six to eight weeks for a single-location clinic. Patient records and reporting add time, mostly for importing existing data cleanly.
What happens to our existing patient data?
We import it, and we show you the import result before going live: how many records came through cleanly, how many need a human decision. Nothing is deleted, and the old records stay available.
